Overview

We are currently in search of an experienced Medical Receptionist (Patient Access Specialist) for our Yardley, PA location. The Patient Access Specialist at Kolmac Integrated Behavioral Health and all its subsidiaries ("Kolmac" or the "Company") is responsible for managing the flow of patients and visitors in and out of the front door as well as front waiting area.  This includes implementing administrative systems, following procedures and policies, monitoring administrative projects, and working collaboratively with care providers to facilitate program and budgetary goals. 

 

This role is ideal for a self-starter who thrives in a medical setting, has strong operational acumen, and can lead through growth and change. This ensures clinical sites operate efficiently, deliver superior patient service, and adhere to regulatory and financial best practices.

Office Management

  • Ensure smooth front-end workflow including registration, insurance eligibility, appointment scheduling, and financial policy compliance.
  • Maintain a professional, patient-centered environment in all medical office settings.
  • Evaluates the condition and availability of office supplies, medical supplies, and equipment and communicates needs to appropriate staff.
  • Follows systems and procedures by adhering to operating practices, record-keeping systems, forms control, and budgetary requirements.
  • Receives clinical alerts and ensures adherence to patient restrictions, including toxicology screens and appointments with clinical staff.
  • Assists with management of patient documentation, including managing the availability of charts between care providers on the day of intake and ensuring UA and BAC records are retained and available for care providers.
  • Follows production, productivity, quality, and customer-service standards; resolving operational problems; identifying work process improvements.
  • Manages the waiting area milieu by observing safety and well-being of patients and visitors. Alerts security and clinical staff to situations requiring intervention.
  • Maintain cleanliness and order of front desk and waiting room areas. 

Patient Access & Provider Scheduling

  • Coordinate and optimize provider schedules, ensuring maximum appointment availability, including same-day access.
  • Work collaboratively with the director to ensure proper staffing coverage to meet patient care and financial goals.
  • Support new provider onboarding, schedule design, and operational transitions.
  • Manages scheduled appointments by checking in patients and alerting staff to patient presence.
  • Manages co-pay and self-pay amounts for patient visits, including documenting amounts received, and alerting patients to outstanding balances.
  • Directs walk-in patients to appropriate staff.  Collects relevant patient information and maintains HIPAA compliance. 
  • Manages all incoming telephone calls and represents the agency as a first point of contact with a pleasant and professional attitude.  Routes calls, messages, and deliveries to appropriate staff in a timely fashion 

Multi-Site Coverage

  • Serve as on-site at Yardley (Monday–Friday, 10 a.m. – 6 p.m.) and travel to other clinics (Bryn Mawr, Philadelphia) for events, openings, and key onboarding activities (mileage reimbursed).
  • Track site-level KPIs and prepare weekly performance summaries for senior leadership.

Financial Performance & Revenue Cycle

  • Ensure accurate collection of copays, deductibles, and patient balances.
  • Monitor key financial indicators including cash collections, A/R, and payer mix.

Staff Development

  • Support in training, schedule and performance of new staff onboarding.
  • Foster a culture of accountability, collaboration, and operational excellence.

Compliance & Facility Readiness

  • Ensure compliance with healthcare regulations, environmental safety standards, and Kolmac’s Code of Conduct.
  • Notify Compliance or Legal teams regarding risk, privacy, or regulatory concerns.
  • Partner with billing, facilities, and IT departments to troubleshoot operational inefficiencies.

 

Qualifications

  • Three plus years’ experience in a medical office setting, hospital, or similar patient customer service environment. Five plus years, preferred.
  • Requires a working knowledge of medical insurance plans, billing, regulations.
  • Must have a strong knowledge of and advanced experience with Microsoft Office products with an ability to become familiar with firm-specific programs and software.
  • Excellent verbal and written communication, professional telephone manners, interviewing and interpersonal skills to interact with patients, families, members of the health care team and external agencies.
  • Ability to multi-task and adapt to changing priorities
  • Ability to act with integrity, professionalism, and confidentiality
  • A high degree of personal motivation and drive to achieve personal and professional goals.
  • Proven experience in medical office or behavioral health practice.
  • Excellent analytical and problem-solving skills
  • Computer literacy and knowledge of relevant healthcare and administrative software
  • Strong knowledge in healthcare finance management
  • In-depth knowledge of health care finance best practices standards
  • Organization and time management skills

The base pay for this position generally ranges between $18 to $22 an hour. Factors, such as but not limited to, geographical location, relevant experience, licensure, education, and skill level may impact the pay for this position.
