Overview

Kolmac Integrated Behavioral Health is seeking a hands-on, detail-oriented HR Manager (Hybrid) to serve as both a working manager and a partner for our operational leaders. This individual will be deeply involved in day-to-day HR operations—owning key administrative processes, entering and maintaining data, and driving compliance—while also supporting strategic HR initiatives in collaboration with the Director of HR.

This role is ideal for an HR professional who thrives in a fast-paced, people-first environment, values accuracy and efficiency, and can pivot seamlessly between tactical execution and leadership support. The HR Manager will serve as the primary backup to the Director of HR, stepping in to lead and represent the department as needed. This position is hybrid, Monday/Friday work remotely, Tuesday/Wednesday/Thursday work from our Burtonsville, MD corporate office.

Responsibilities

Employee Engagement & Culture

  • Serve as a key driver of employee engagement, recognition, and retention initiatives.
  • Support and execute companywide engagement activities—drafting communications, coordinating logistics, and tracking participation.
  • Actively gather and report on employee feedback to improve morale and engagement.
  • Analyze survey data and assist with follow-up action plans, ensuring accountability and communication across teams.
  • Partner with leadership to develop strategies that promote a high-performance, inclusive culture.

Employee Relations

  • Act as the first point of contact for day-to-day employee questions, concerns, and policy interpretation.
  • Conduct and document internal investigations related to performance, conduct, or workplace complaints.
  • Prepare, issue, and track corrective action forms, ensuring consistency and compliance with policy.
  • Support and coach managers on performance management processes, including documentation and communication best practices.
  • Maintain thorough and confidential records in employee files and HRIS.

Benefits & Leave Administration

  • Administer all employee benefits (medical, dental, vision, disability, and 401(k)) and serve as the internal expert on benefit eligibility, enrollment, and compliance.
  • Manage the full lifecycle of employee leaves of absence (FMLA, ADA, personal, military, and other protected leaves)—including intake, communication, tracking, and return-to-work coordination.
  • Liaise with benefit vendors, brokers, and payroll to ensure accurate deductions and timely updates.
  • Provide one-on-one employee guidance and support for all benefits-related inquiries.

HR Systems & Reporting (ADP)

  • Serve as the HR system administrator for ADP. May support or be responsible for entering, updating, and auditing all employee data—including hires, terminations, salary changes, and transfers.
  • Partner with Payroll and Finance teams to ensure accurate and timely payroll processing, auditing reports for errors and discrepancies.
  • Generate and analyze HR metrics (turnover, headcount, PTO utilization, demographics, etc.) and present data insights to leadership.
  • Support onboarding and offboarding processes within ADP and execute related system workflows.

Department Leadership & Support

  • Assist in managing HR priorities, workflows, and delegation of tasks to ensure deadlines are met.
  • Partner with the Director of HR to implement new systems, streamline processes, and enhance the employee experience.
  • Participate in cross-functional meetings as the HR representative, ensuring follow-through and timely communication.
  • No direct reports.

Qualifications

 

  • Proven experience in HR roles with increasing responsibility (minimum 5 years preferred)
  • Bachelor’s degree in HR, psychology or business-related subject or equivalent years of work experience
  • Must have strong benefits administration experience
  • Must have strong experience utilizing an HRIS system/software – to include payroll processing experience (ADP Workforce Now preferred)
  • Must have solid understanding of HR and payroll laws in Kolmac relevant states
  • Must have a strong knowledge of and advanced experience with Microsoft Office products with an ability to become familiar with firm-specific programs and software.
  • Ability to multi-task and adapt to changing priorities
  • Ability to work autonomously and display innovation to help take the role to the next level in HR excellence
  • Strong communication skills, (verbal and written) and the ability to build relationships internally and externally
  • Ability to act with integrity, professionalism, and confidentiality
  • Strong attention to detail and accuracy
  • PHR or SHRM–CP or related certification preferred

The salary for this position generally starts at $85,000 annually. Factors, such as but not limited to, geographical location, relevant experience, licensure, education, and skill level may impact the pay for this position.
